System, symptoms, and who’ll open the door, so you know which parts to throw on the truck.
The symptoms
Blowing warm, short‑cycling, iced‑up lines, a new noise, or nothing at all, in their words.
System type and age
Central AC, heat pump, furnace, or mini‑split, and roughly how old, if they know.
Who’s at home
An older parent, a new baby, or an empty house till six. If it fits what you call urgent, it’s marked URGENT.
Home or business
A house, a rental, a storefront, or an office, and who can let you in.
Name, number, and address
Who’s calling, a good callback number, and the street the system’s on.
Last service
When someone last looked at the system, if they remember.

Will it know an emergency when it hears one?
It flags the ones you tell it to. You decide what counts as urgent, like no cooling with an older person or a baby at home, or no heat on a cold night. When a caller describes one, that text reaches you marked URGENT. It doesn’t give health or safety advice.
Can it schedule maintenance tune‑ups?
Yes. It books them into the open slots you set, so a tune‑up call doesn’t pull you off a repair. Each one shows up as a text with the name, the address, and the time.
Will it quote a new system?
No. A new system depends on the house, the ductwork, and what the customer wants, so that number waits until you’ve been out to look. If you’d like, it can give the ballpark ranges you’ve approved and book the estimate visit.
Can it tell callers which systems we work on?
Yes, from the list you give us at setup, like central air, heat pumps, and furnaces, but no boilers. If someone asks about equipment that’s not on your list, it notes what they have and leaves the yes or no to you.
I’m a one‑truck operation. Is this overkill?
